    Cflow v15.3: Enhancing Approvals with Cflow Sign

    Approval workflows rarely break at the big, obvious steps. They break at the small handoffs, such as downloading a document to sign it somewhere else, clarifying with one stakeholder while another waits, or reminding someone22 about a task they’re already blocked on. The latest Cflow Sign capabilities are designed to close these gaps and keep signing activities connected to the approval process.

    The Cflow v15.3 release builds on this with Cflow Sign Connect, along with routing, clarification, reminder, integration, and document design improvements aimed at teams managing requests through multiple approvers.

    The Problem With Signing Outside the Workflow

    Before this release, getting a document signed inside an approval process could mean leaving the process entirely: download the file from Cflow, upload it to a separate e-signature tool, send it out, wait, download the signed version, then re-upload it back into Cflow. Every one of those steps created another opportunity for a document to get lost, delayed, or attached to the wrong record.

    Cflow Sign removes the need for that detour. It lets teams build reusable signing templates, place Signature, Date, and Textbox fields visually on a PDF, and send documents out for signature without leaving the workflow platform.

    Documents can be routed for:

    • Parallel signing: Everyone signs at the same time.
    • Sequential signing: Signers complete their part in a defined order, with each signature automatically releasing the document to the next person.

    Once every signer has completed their part, the fully executed copy is available, while signed documents remain organized within Cflow.

    What’s New in v15.3

    The centerpiece of this release is Cflow Sign Connect, which links a workflow stage directly to a Cflow Sign template.

    An admin can map a workflow event, such as “when a contract reaches Legal Review,” to a signing template, with signer details and document fields configured in advance.

    When that event occurs, Cflow can:

    • Generate the signing request automatically
    • Send it to the required signers
    • Track the signing progress
    • Collect the required signatures
    • Return the completed document to the relevant workflow field

    This removes unnecessary downloading, uploading, and manual attachment steps.

    Cflow Sign also includes a smaller but useful improvement: the “Sign Once, Apply Everywhere” checkbox. Documents that require the same person’s initials on every page along with a final signature no longer require each field to be signed individually. One signature can fill every field assigned to that signer.

    Improvements Beyond Digital Signing

    The v15.3 release also addresses several friction points that can slow down approval workflows.

    • Multi-recipient clarifications: A clarification can now be sent to several people at once instead of being handled one person at a time. The workflow can wait for the required responses while tracking each answer individually.
    • Priority flag: Initiators can mark a request as a priority when creating it. The request is highlighted on the approver’s dashboard.
    • Smarter reminder routing: When an approver raises a clarification, they are removed from the reminder queue until the clarification is answered. Reminders then move to the person who needs to respond.
    • Rebuilt HTML editor: The Email Builder and Form Builder now provide improved handling for externally designed templates, including custom HTML and table-based structures.
    • New HTTP Connect triggers: Draft a Request and Delete a Request provide additional options for keeping external systems synchronized with request activity.
    • Portrait and Landscape orientation: Document Designer now supports both orientations, making it easier to format wider tables and charts.

    Additional Refinements

    Alongside the major updates, v15.3 includes several smaller improvements designed to make workflows more reliable and easier to manage:

    • Improved Matrix lookup management
    • Cleaner duplicate ticket handling
    • Hyphens allowed in usernames
    • More reliable Slack integration
    • Improved SAML link redirection
    • Automatic token expiration handling for DocuSign
    • Visibility toggles on password screens
    • Additional security patches

    Why It Matters

    These updates focus on reducing the small points of friction that can accumulate throughout an approval process. Connecting signing directly to workflow stages reduces manual document handling, while multi-recipient clarifications and smarter reminders help requests move to the right people at the right time.

    For teams already managing approvals, signing, and system integrations through Cflow, these improvements can make everyday workflows easier to manage without requiring a complete process redesign.

    The combination of Cflow Sign Connect, improved clarification handling, smarter reminders, enhanced integrations, and document design options makes v15.3 a practical update for organizations looking to keep approval processes connected from request submission through final execution.
